What Western Range Club collects from members, prospective members, and the people whose ground the club opens — and what it does with it.
This document is in review and is not yet counsel-approved. It states how the club intends to operate and is published so that intent is on the record before anyone is asked to join. It will be replaced with an executed version before membership sales begin.
The short version
We collect what we need to decide whether to offer you a membership, to run that membership, and to get you through a gate. We do not sell it. We do not give it to advertisers or data brokers. Where a landowner needs to know something about you in order to approve your day on their ground, they see that and nothing else.

What we collect
When you enquire. Your name, email address, phone number, city and state, what you hunt, your experience level, and anything you choose to write in the notes field.
When you join. Billing details for initiation and dues, the membership tier you hold, your position on the founding or legacy roll where that applies, and — for a legacy membership — the successor you have named in writing.
To get you onto ground. Verification that you hold the licences, tags, and hunter-education certificates a property or a state requires, together with any waiver or property agreement you sign and the date you signed it.
As you use the club. Which properties you have requested, which days were approved, check-ins, guests you brought, and day and access fees paid.
Automatically. Server logs, including IP address and browser user agent, kept for security. Privacy-respecting analytics. No advertising trackers and no cross-site tracking.
Not by us. Card numbers. Payments are handled by our payment processor; we keep the record of a charge, not the instrument that made it.
Where the ground is
Property locations are treated as the most sensitive thing the club holds, because they are. A landowner opens a gate on the understanding that the location does not become public, and a club that lets it become public has spent the relationship it exists to protect.
So: exact boundaries, access routes, gate codes, stand and blind positions, and parking are released to you when your request for days is approved, and not before. Members may not publish, post, tag, or forward them. Doing so is grounds for ending a membership, and it is the one rule here we will enforce without a conversation first.
The same applies to us. We do not aggregate property or harvest records for sale, publication, or resale to anyone.
Why we process it
- To answer your enquiry and assess a membership application.
- To run the membership — initiation, dues, renewals, transfers, and succession on a legacy membership.
- To verify licences, tags, and education before you request days, and to give a landowner what they need to approve that request.
- To keep records a property, a state agency, or the law requires.
- To investigate an incident on a property, and to keep members and landowners safe.
- To tell you about new ground, member days, and club business. You can stop these at any time.
Your choices
Write to membership@westernrangeclub.com and you can ask us for a copy of what we hold about you, ask us to correct anything wrong in it, or ask us to delete it.
Deletion has limits we would rather state than discover with you later: a signed waiver, a transaction record, an incident report, and anything a state agency or a property requires us to keep will be kept for as long as it has to be, even after a membership ends.
Marketing email carries an unsubscribe link and honours it. Messages about a booking you actually have — an approval, a change, a gate detail — are not marketing and cannot be switched off while the booking stands. Text messages, where you have opted in, stop on STOP.
How long we keep it
- Account and membership records: while the membership is open.
- Enquiries that do not become memberships: two years, then deleted.
- Signed waivers, property agreements, transactions, and incident reports: for the period the law and the property require.
- Legacy membership succession records: for as long as the membership exists, which is the point of it.
- Server logs: a short window, for security.
Children
Memberships are held by adults. A child or grandchild hunting on a member’s booking is recorded under that member’s account, and we do not knowingly collect information directly from anyone under 18. If you believe a child has given us information, write to us and we will remove it.
Changes to this policy
When this changes we will update the date at the top of the page. If a change materially affects what we do with information we already hold, we will email members before it takes effect rather than rely on you noticing a new date.
